Cancellation Policy – Shivadhya Travel
At Shivadhya Travel, we aim to offer our clients memorable and hassle-free travel experiences. However, we understand that travel plans may need to change due to unforeseen circumstances. This Cancellation Policy outlines our terms and conditions regarding cancellations, amendments, and refunds to ensure clarity and fairness for all parties involved.
Please read this policy carefully before booking any tour package or travel service with Shivadhya Travel.
1. General Terms of Cancellation
Cancellation of any travel service or package must be communicated in writing via email to our official communication channels. Cancellations are effective only once acknowledged by Shivadhya Travel.
The applicable cancellation charges will depend on several factors, including the type of service booked, destination, supplier policies, and the time frame in which the cancellation request is received.
2. Cancellation Timeline and Charges
Below is our standard cancellation fee structure for domestic tours (within India):

Note: This is a general policy. Specific packages may have different rules based on hotel, airline, or local operator terms. The final cancellation fee will be shared at the time of booking or on the invoice.
3. Cancellation Policy for International Tours
For international travel packages (Nepal, Bhutan, etc.), the following policy applies unless specified otherwise:

45 days or more before the travel date: 15% of the total cost

30 to 44 days before the travel date: 30% of the total cost

15 to 29 days before the travel date: 60% of the total cost

Less than 15 days: 100% of the total cost (no refund)
In addition, visa charges, flight cancellation charges, and forex booking fees are non-refundable.
4. Cancellation of Individual Travel Services
For bookings like flight tickets, hotel reservations, cab services, or activities, cancellation charges will be as per the policies of the respective airlines, hotels, or service providers. Shivadhya Travel will charge a service fee of ?500 per booking in addition to supplier charges.
5. Refund Policy
a. Mode of Refund:
Refunds will be made through the original mode of payment only.
b. Processing Time:
We aim to process all eligible refunds within 10 to 15 working days after receiving cancellation requests. However, in some cases involving third-party vendors (airlines, international hotels, etc.), it may take up to 30 working days or more.
c. Non-Refundable Components:
The following charges are non-refundable:

Booking/processing/service charges

Visa and travel insurance fees

Forex handling charges

Cancellation charges imposed by third-party service providers

No-show or unutilized services

Any portion of the tour not availed due to late arrival, early departure, or personal reasons
6. Force Majeure Clause
In the event of unavoidable circumstances such as:

Natural disasters (floods, earthquakes, storms)

Political disturbances or strikes

Pandemics/epidemics

War or threat of war

Lockdowns or government restrictions
-
Airline or train disruptions
Shivadhya Travel reserves the right to postpone, reschedule, or cancel the tour. In such cases, the cancellation policy of the respective service providers will be followed, and refunds will be issued accordingly.
Note: Shivadhya Travel shall not be held liable for any loss arising from such cancellations or changes due to force majeure.
7. Changes and Amendments to Bookings
If you need to make amendments to your existing bookings (like travel dates, room categories, or number of travelers), we will try our best to accommodate your request.
However, any amendments are subject to:

An administrative fee of ?500 per change
8. Group Tour Cancellation Policy
For group tours (5 or more participants), the cancellation policy is slightly different:

Partial cancellations in group bookings may not be accepted in certain cases due to fixed costs associated with group travel.
9. Special Cases and Promotions
Tour packages that are part of festivals, long weekends, or peak seasons (e.g., Holi, Diwali, New Year, Chhath, Char Dham Yatra) may carry stricter cancellation policies. In such cases, the policy mentioned at the time of booking shall override the general cancellation rules.
Promotional and discounted packages may also be non-refundable or carry higher cancellation fees.
10. Travel Insurance and Protection
We highly recommend all travelers to purchase travel insurance that covers cancellations, medical emergencies, and trip interruptions. Shivadhya Travel is not responsible for any losses or expenses arising from cancellations that are not covered by insurance.
11. No-Show Policy
If the customer does not show up for the tour or any scheduled service (like airport pickup, hotel check-in, etc.) without prior notice, it will be treated as a No-Show, and 100% cancellation charges will apply. No refund will be issued.
12. Cancellation by Shivadhya Travel
In rare situations, we may cancel your booking due to:

Minimum number of participants not met

Supplier-related issues

Force majeure situations
In such cases, we will offer:

Full refund, or
-
Alternative tour/date, subject to your consent
We shall not be liable for any additional cost (like visa charges, personal expenses, etc.) in case of cancellation initiated by us.
